How information is collected, classified and protected

Helping Hand Liberia handles information about people in difficult circumstances. Protecting it is part of the service, not an afterthought to it.

Information we collect

Need submissions and their supporting documents; identification of submitting institutions and their representatives; sponsor contact details and contribution references; vendor details and delivery evidence; and records of the decisions taken on each case.

How information is classified

Every record and file is classified when it is created as public, sponsor-visible or internal. The classification, not the intention of the person handling it, determines where it can appear. Beneficiary identity, medical detail and household location are always internal.

Who can see what

Access is granted by role and purpose. Verifiers see the cases assigned to them. Finance sees contribution and allocation records. Sponsors see the evidence released for the needs they supported. Executive users see aggregated national reporting rather than individual case files.

Consent and photography

Photographs and personal accounts of beneficiaries are published only where authorization has been recorded, and never for children in a way that identifies them. Consent can be withdrawn, and the material is removed from public view when it is.

Retention

Financial and decision records are retained as permanent, append-only history because they underpin accountability. Supporting documents containing personal information are retained only as long as the case and audit obligations require, then removed from active storage.

Your rights

You may ask what information is held about you, ask for inaccurate information to be corrected, withdraw consent for the use of your photograph or personal account, and complain about how your information has been handled.

Security

Records are held in access-controlled systems with row-level authorization, audited access and no untraced administrative overrides. We will never ask you for your password, an authentication code or a card PIN.

Requests about personal information are received at the office or by telephone, and are recorded as cases so they can be tracked to a response.
